Vehicle Safety Information
The University owns and operates over 600 vehicles in the form of cars, trucks, vans, golf carts, electric vehicles, tractors, mowers, trailers, and more. The Office of Risk Management and Insurance is responsible for placing insurance for these vehicles and providing relevant risk management programming. These efforts are outlined below.
Insurance
To add a vehicle to the University’s auto insurance, please download and complete the “Add a Vehicle Form” and return it to the Office of Risk Management and Insurance. If physical damage coverage is desired, please indicate such in the appropriate field on the form. The unit that owns the vehicle is responsible for the annual insurance premium associated with that vehicle and any applicable deductibles as a result of claims.
Transit Driver Notification Form
Employees who regularly drive as part of their job, whose job description includes operating a motor vehicle, or who drive 15-passenger vans, are required to complete a Transit Driver Notification Form. This form enables the University to conduct a Motor Vehicle Record (MVR) check and receive notifications regarding any moving violations.

Vehicle Safety Training
The Office of Risk Management and Insurance, in partnership with Facilities Management, offers training on the safe operation of University vehicles. This course is designed for all employees at the University of North Carolina at Charlotte who operate University vehicles, including utility vehicles. It addresses the policies, expectations, and procedures necessary for the safe operation of these vehicles.
15-Passenger Vans
The University owns several 15-passenger vans that are available for use by University employees. Employees may reserve a van for a University activity using the Facilities Management – Motor Fleet website .
Prior to driving a 15-passenger van, employees are required to:
1. 15-Passenger Van Online Training Module: Pass the University’s 15 passenger van training, located here. A screenshot of each employee’s training completion must be submitted to the Office of Risk Management and Insurance before driving the vehicle (email: hnance3@charlotte.edu). [Note: All employees who have previously completed the van training through Environmental Health and Safety are exempted from this requirement.]
2. Transit Driver Notification Form: Complete the Transit Driver Notification Form through Docusign
Departments that frequently utilize 15-passenger vans are encouraged to practice additional risk management procedures, such as in-person training, as they deem appropriate.
